Time-Tracking Tools for Freelancers: What to Compare

The best time tracker is one you will keep accurate and can use to produce the record you need. Compare a normal working week and a sample client report before committing to a tool or subscription.

Toggl Track: test the reporting workflow

Toggl Track provides reporting for tracked work. Try grouping time by client and project, correcting a forgotten entry and producing the report you would send with an invoice. Verify the required features and export formats on the plan you intend to use.

Toggl Track: reporting

Clockify: check the export before deciding

Clockify provides reports that break down tracked time and costs. Export options and plan requirements can differ, so check its current export documentation. Use a sample that includes a correction, non-billable work and more than one project; a basic timer demonstration is not enough to test reporting.

Clockify: exporting reports

A spreadsheet: a reasonable baseline

For simple work, a timesheet may be sufficient if you maintain it consistently. Use date, client, project, description, duration and billable status as separate columns. Keep a protected copy of approved records. A manual sheet becomes less attractive when you need permissions, frequent reports or integrations.

Evaluate the record, not only the timer

Before choosing, complete a sample day, correct an entry, review the total and export the result. Ask whether the client can understand what was done without seeing confidential internal notes. For fixed-price work, use time data to assess your estimating accuracy without changing the agreed billing model.

Common questions

Do fixed-price freelancers need time tracking?

It can help compare estimated and actual effort. It does not automatically convert a fixed-price agreement into hourly billing.

Should I choose the free plan?

Check whether it supports the reporting period, exports and permissions you need. Compare current plan terms using your sample workflow.
